Anyone who has bought school shoes knows there are two ways to get it wrong. Buy for the foot as it is today and the shoes are too small by February. Buy three sizes up and the child spends the autumn tripping over their own feet.

A growing company has the same problem with its business phone plans, only with more feet. What suited you at eight people starts to pinch at twenty, and whatever you bought to be on the safe side gets paid for every month, used or not.

A business phone plan is a mobile plan that a company takes out, pays for and manages on behalf of its employees, covering calls, texts and data for work. For a growing company, the price per plan is rarely what decides it. What decides it is how easily you can add users, change data allowances and connect each mobile to the company phone system.

Below, we look at where things tend to pinch and what a business phone plan should handle as you grow.

What is a business phone plan?

A business phone plan differs from a personal one in three ways. The company is the customer and pays the bill, someone in the company manages all the plans in one place, and the phone is used for work rather than the family group chat (although the line can be thin). The contents are familiar: calls, texts and a data allowance that has to last the month.

The difference shows once you are more than a handful of people. The plan becomes part of how the company works. Who gets which data allowance? Who orders a SIM for the person starting on Monday? Which number does the customer see when a salesperson calls from the train? And does the cost land with the right department? A good business phone plan answers those questions before anyone needs to ask them.

Why do companies outgrow their phone plans?

Because plans rarely grow at the same pace as the business. Most companies take out their first plans when they are small, based on the needs they have at that moment. Then they hire, open another office and start selling abroad, and the plans follow along one exception at a time.

Say you are fifteen people and hire three more in October. The first gets a phone but no SIM, because it was ordered too late. The second gets the same data allowance as everyone else, despite spending most of the day at a desk. The third works in sales and has used up their data within ten days. What happens when the mobile and the phone system live separate lives?

Your customers get two companies. One answers the main number and one answers the mobiles. Calling the main number brings queues, opening hours and colleagues who can pick up. Calling a salesperson's mobile reaches exactly one person, and if they do not answer, that is the end of it.

In everyday terms, it looks something like this:

  • A salesperson calls a customer from their mobile and shows their personal number, so the customer rings that number back even while the salesperson is on holiday.

A business phone plan for a growing company should do four things: adapt to each user, be manageable without waiting, travel well and work with the phone system. The rest is detail, although some details are nicer than others.

  • Data per user: The salesperson on the road and the accountant at a desk do not need the same allowance, and you should be able to change it when their needs change.
  • Free calls and texts: Nobody should have to count minutes or wonder whether a call is worth making.

Can we move our existing plans to Lynes?
